Terms & Conditions

The following Terms & Conditions apply when booking a flight with Frontier Tours:

Minimum Number

All tours are sold on a per seat basis. All flights are confirmed with a minimum of 2 passengers unless otherwise stated. Single passengers are welcome; however, the flight is not confirmed until a second person has booked, or the single person agrees to pay for the second seat.

  • Passenger’s first and last name
  • Number of passengers travelling
  • If children are travelling, please specify age
  • Passenger’s weight
  • Passenger’s Hotel name — for courtesy transfer (if required)
  • Intended Payment method — credit card details, cash, voucher.
  • Email address and mobile phone number

Special Event

Please advise if the guests are celebrating a special event — birthday/honeymoon etc. Frontier Tours will endeavour to do everything to make the occasion a special and memorable experience.

Passengers Requiring Additional Assistance

Please contact Frontier Tours should you require additional assistance with handling mobility devices or personal aids.

Please note that wheelchairs can only be carried on selected aircraft and must be collapsible.

Child Age/Infant Policy

An infant is a person who has not yet turned 2 years of age and may be carried in the arms or on the lap of a restrained adult, using a supplemental loop belt (infant seat belt). Infants are only permitted on tourism flights with a total duration of 45 minutes or less and must be accompanied by at least one parent or a responsible adult at all times.

A child is defined as a passenger who has reached their 2nd but not their 13th birthday and will be allocated their own seat on the aircraft. All children must be accompanied by an adult on the flight. Two children under the age of 13 may share a seat, provided their combined weight does not exceed 77 kilograms. Please note that seat sharing is not permitted on Horizontal Falls or Montgomery Reef flights, and all passengers on these tours must occupy their own seat.

Unruly or disruptive behaviour from children will not be tolerated. For safety reasons, it is at the discretion of the pilot to deny boarding to any child displaying misbehaviour that may pose a risk to the flight. The pilot also reserves the right to return to base or alter the flight path at any time if a child’s behaviour is deemed to compromise the safety or comfort of passengers and crew.

Passenger Communication Requirement

For safety reasons, all passengers must be able to communicate verbally with the pilot throughout the flight. This includes understanding and responding to basic safety instructions in English. Passengers who are non-verbal, hearing impaired, or who do not speak or understand English must be accompanied by a responsible adult who can communicate effectively with the pilot on their behalf.

If a passenger is unable to meet this requirement and is not accompanied by an appropriate support person, they may be refused boarding at the discretion of the pilot. In such cases, the passenger will be charged 100% of the booking cost. This policy is in place to ensure the safety and well-being of all passengers and crew during flight operations.

Passenger Mobility Requirements

For safety and operational reasons, any mobility issues or accessibility requirements must be disclosed to our staff at least 48 hours prior to flight departure. If a booking is made within 48 hours of the scheduled departure time, this information must be provided at the time of booking. Failure to disclose relevant information may result in refusal of service, with applicable cancellation fees.

 

Weight Restrictions

As required under aviation compliance regulations, all passengers, regardless of age, are weighed prior to boarding the aircraft. Accurate passenger weights must be provided at the time of booking.

Where a passenger’s weight at check-in exceeds that previously advised at the time of booking, the passenger may be prevented from boarding the flight, and payments made at time of booking may be forfeited.

Robinson 44 helicopters have a maximum individual seat weight limit of 136 kilograms. This limit is enforced strictly under CASA regulations to ensure safe aircraft performance. If a passenger arrives for their flight and exceeds this limit, they will be refused boarding and charged 100% of the booking cost.

The combined weight of passengers on board must not exceed 250 kilograms per flight.

Fuel Surcharge

In the event of a significant increase in aviation fuel costs, we reserve the right to impose a fuel surcharge at any time. Such surcharge may be applied on one or more occasions and without prior notice.

Cancellation Policy

Cancellation of Scenic Flights and Tours:

  • Up to 48 hours prior to departure – No charge
  • Less than 48 hours prior to departure – 50% of flight cost
  • No show – 100% of flight cost

Cancellation of Horizontal Falls landing tours:

  • Please see below section: ‘Cancellation Policy for Partnered Tours – Journey Beyond (Horizontal Falls Seaplane Adventures)’

Cancellation of Custom Charters & Itineraries:

  • Up to 7 days prior to departure – 50% of flight cost
  • Less than 7 days prior to departure – 100% of flight cost

Flight Cancellations by Frontier Tours:

  • In the event that Frontier Tours cancels a flight, no cancellation charge will be applied. Every effort will be made to reschedule the flight at a time that suits the passenger’s schedule.

Liability for Additional Costs:

  • Frontier Tours will not be held liable for any costs associated with airfares, accommodation, or any other expenses incurred as a result of helicopter flights that do not proceed as originally booked.

Cancellation Policy for Partnered Tours – Journey Beyond (Horizontal Falls Seaplane Adventures)

Frontier Tours partners with Journey Beyond for the operation of the following tours:

  • DBY-MHFD: Montgomery Reef & Horizontal Falls Discoverer (includes landing, boat tour & lunch) ex Derby
  • BME-MHFD: Montgomery Reef & Horizontal Falls Discoverer (includes landing, boat tour & lunch) ex Broome
  • DBY-HFD: Horizontal Falls Discoverer (includes landing, boat tour & lunch) ex Derby
  • BME-HFD: Horizontal Falls Discoverer (includes landing, boat tour & lunch) ex Broome

Please note that bookings for these tours are subject to Journey Beyond’s cancellation policy, which differs from the standard Frontier Tours terms & conditions. The applicable cancellation conditions for these partnered tours are as follows:

  • Cancellations made more than 30 days prior to departure — no charge
  • Cancellations made between 30 and 15 days prior to departure — 25% of tour cost
  • Cancellations made 14 days or less prior to departure — 100% of tour cost

Guest No Show

In the event of a guest’s non-appearance for a pickup or flight, a 100% cancellation fee will be applied. If the flight is booked through a third party, the third party will be contacted immediately in writing to advise of the no-show, and of applicable charges. If you have booked directly with Frontier Tours, the credit card used for the booking will be debited 100% of the cancellation fee.

Guest Illness

Frontier Tours accepts that guest illnesses do occasionally occur. Should a guest provide at least 24 hours’ notice, the flight may be rescheduled for an alternate day, subject to availability. However, if cancellation due to illness is made on the day of the tour and the guest is unable to reschedule to another time, the passenger will be charged 50% of the booking cost. 

If cancellation is made by the guest with more than 48 hours’ notice, no cancellation charge applies.

Storage of Personal Belongings

Personal belongings may be held with Frontier Tours for the duration of the scenic flight. Note: Frontier Tours does not accept responsibility for any loss, damage, or theft of personal items left in the care of Frontier Tours.

Inclement Weather

Flights will only operate during favourable weather conditions. If weather conditions such as low cloud, fog, gusty winds, or electrical storms are present in the area of the flight, the flight may be cancelled or postponed. Flights can still operate in wet weather as visibility may be deemed acceptable by the pilot. Should guests wish to cancel their flight due to wet weather, but the flight can operate safely, a 100% cancellation fee will apply.

Health & Fitness

It is your responsibility to ensure that you have a suitable level of health and fitness to undertake the Tour. You are required to have a reasonable level of mobility, embark and disembark from vessels and to maintain balance on pontoons. Due to space restrictions onboard our aircraft and vessels, and uneven terrain of some boarding/disembarking locations, we are unable to accommodate wheelchairs or walkers. We recommend that all pregnant women discuss whether it is safe for them to participate in the power boat activity with their doctor. Notwithstanding, Journey Beyond do not recommend that women who are more than 26 weeks pregnant participate in the power boat activity.

If you have doubts about your ability to undertake the Tour, please contact us to discuss your circumstances prior to making a Booking.

Existing Medical Conditions

If you have a medical condition which may reasonably be expected to increase your risk of needing medical attention or special assistance, or which may materially affect the usual conduct of the Tour, then you must advise us prior to or at the time you make your Booking.

Journey Beyond may request you to provide an assessment of your medical condition from a qualified medical practitioner. If the assessment indicates that you are not fit to travel or will require special assistance which Journey Beyond cannot reasonably provide, then we may cancel your booking. Provided you notified us of your medical condition prior to or at the time you made your Booking, we will provide you with a full refund of payments received.

If you fail to provide a medical assessment within a reasonable time of our request, then this will be considered a cancellation by you and cancellation fees will apply.

New Medical Conditions

You must advise us of any new or changed medical conditions which may reasonably be expected to increase your risk of needing medical attention or special assistance, or which may materially affect the usual conduct of the Tour.

Journey Beyond may request you to provide an assessment of your medical condition from a qualified medical practitioner. If the assessment indicates that you are not fit to travel or will require special assistance which we cannot reasonably provide, or if you fail to provide a medical assessment within a reasonable time, then this will be considered a cancellation by you and cancellation fees will apply.

Non-Disclosed Medical Conditions

If any non-disclosed medical conditions mean that you are unfit to travel or will require special assistance which we cannot reasonably provide, then we acting reasonably may exclude you from the Tour. This will be considered a cancellation by you and cancellation fees will apply.

By booking one of the above tours, you agree to the Journey Beyond cancellation policy. If you are unsure whether your tour falls under this category, please contact us for clarification at the time of booking.

Dietary Requirements – Tours Including Food & Beverages
If your tour includes meals or beverages, any special dietary requirements must be advised at the time of booking. Frontier Tours will make every effort to accommodate dietary needs; however, we cannot guarantee that all requests can be met in every instance.

It is the passenger’s responsibility to check that meals and beverages provided do not contain any allergens.

Flight Routes

Frontier Tours will endeavour to deliver our products as described in the advertising material. However, the flight path or flight time may vary due to weather, air traffic control, or pilot discretion.

Booking Conditions

  • Discount applies per booking, not per passenger.
  • Bookings must be made directly with Frontier Tours (website, phone, or office).

Payment & Confirmation

  • Full payment is required to secure the discounted rate.
  • The discount will only be applied at the time of booking when the code is provided.

Changes, Cancellations & Refunds

  • Normal cancellation and amendment policies apply.
  • If a booking is changed to a date outside the travel validity period, the discount no longer applies.
  • If the tour is cancelled by Frontier Tours (e.g., weather, operational reasons), passengers may: reschedule, keeping the discount; or receive a refund per standard T&Cs.

Capacity & Availability

  • Offer is subject to availability.

Non-Transferable

  • Discount code is non-transferable and cannot be exchanged for cash or credit.

One Use Only

  • Limit one discount code per booking.

Proof of Eligibility

  • Frontier Tours may request evidence of the promo source.

Errors & Withholding Rights

  • Frontier Tours reserves the right to decline use of the code if: the code is invalid, expired, or misused; the booking does not meet the eligibility criteria.
